For custom screen printing, the minimum order is **24 units** (50 for tote bags, 100 for tea towels). For custom embroidery, it’s **12 for outerwear** and **24 for everything else**. If you're after something bespoke and made offshore, MOQs vary—**headwear starts from 50 units**, **custom socks and tea towels from 100+**. Let us know what you’re after and we’ll guide you through. For custom heat transfers, we have a minimum of **24 units** (50 for tote bags).

The standard turnaround is &#x37;**–10 working days** from proof sign-off and payment.\
Do you need it quicker? We offer a **rush service** for in-stock items (black & white AS Colour Staple & Maple tees, Print Room tote bags & tea towels) which can be with you in as little as **3 working days**. Offshore made-to-order has longer lead times—typically **4–6 weeks by air** or **7–10 weeks by sea** but your account manager will confirm this upon enquiry.

<summary>What type of file do I need to supply my design/artwork in?</summary>

For custom screen print & custom embroidery, ideally, a **vector file** (like AI, EPS, or PDF with editable outlines). That ensures your artwork prints are sharp and clean. We also accept Photoshop files (ideally that are separated in layers), ensuring the gile is 300 DPI and the size you want it printed or larger. For custom embroidery, any file format is fine, but a vector is helpful if you have it on hand.\
If you're not sure what you've got, flick it through—we’re happy to check. If you don not have the correct artwork we can redraw the artwork for $30 - $100 + gst. Once the artwork redraw has been completed, you will own the file to use in future.&#x20;

<summary>Should I choose custom embroidery or custom screenprint/heat press for my design?</summary>

There are lots of considerations to consider when choosing the decoration type for your garment and we have outlined below the benefits of each decoration type to help you with your decision. Our team can also advise on what they think is best for your job. \
\
**Screen printing** (including puff and high-density) is great for larger runs and bold, ideal for tees, hoodies, tea towels and tote bags. Screen printing is great for larger prints; we price it based on the number of colours in your artwork.

**Embroidery** and **puff embroidery** give a premium, long-lasting finish that works well on caps, polos, and outerwear. We can embroider up to 12 colours and we price custom embroidery based on the number of stitches in your design; therefore, the larger your design, the more the cost will be.

**Heat press and silicone transfers** are ideal for sharp detail, high colour, fast turnaround, and technical gear like activewear. Custom Heat transfers like Supacolour and DTF are priced on the size of the print (100mm x 100mm, A5, A4, A3 etc) and are full colour.&#x20;

<summary>Can I get a sample before I place my order? </summary>

We offer physical pre-production samples for all made-to-order products ([Bespoke merch](/production-capabilities/custom-made-merch)) or a photo to approve before bulk production. For custom screen print, embroidery or heat transfer, we don't usually offer pre-production samples due to the high costs and time involved to set the job up, print it, and break it down again. \
\
For orders **over 100 units**, we can send a **pre-production photo** at the time of bulk production for your approval. We can also send a photo of a sample embroidery stitch-out to you to approve before bulk production begins.&#x20;

<summary>Do you offer eco-friendly printing options?</summary>

Yes—we’re proud to use **Magna Colours water-based inks** for all our screen printing as opposed to the industry standard plastisol inks (thermoplastic). We also work with **GOTS-certified garments** and **ethically produced apparel**. Our heat transfers are also printed with water-based inks. Sustainability isn’t a buzzword for us—it’s core to how we operate.

<summary>Can I brand the same design across different garments and garment colours?</summary>

Yes, there are ways to decorate the same design across multiple garment types without resetting the volume pricing. Below are scenarios when this can and cannot be achieved:

**When it's possible:**\
\- When the design is the same decoration type throughout the run (screen print, embroidery, or heat press)\
\- When the placement is the same throughout the run (left/right chest, sleeve, centre back etc)\
\- When the garment type is similar, e.g all adult tops (t-shirts, hoodies, crews, singlets) \
\
**When it is not possible:**\
\- When the decoration type changes \
\- When the decoration placement changes \
\- When the garment type changes, e.g t-shirt > jacket or adults t-shirt > kids t-shirt (and print doesn't fit)

If your design meets the above criteria, then you can combine the garments to reach the different volume pricing tiers. See an example below \
\
You have a large front 2 colour screen print that you want to print on crewneck sweaters and t-shirts. You can order 25 t-shirts and 25 crewneck sweaters to reach the 50 - 99 volume price tier. \
\
**Consideration:** When combining t-shirts and hoodies within an order, you need to remember the print heigh on the front of a hoodie is limited due to the kangaroo pocket and usually cannot be any higher than 250mm.\
\
**Garment colours:** You can choose different garment colours within the above rules also. \
\
You can have up to 6 different variants within the same design, any further variants will incur a surcharge of $15 per variant to cover handling of this. For example this could be 3 t-shirt colours and 3 hoodies colours or 6 different hoodie colours.&#x20;

<summary>How do I match my brand colours?</summary>

We match brand colours using the **Pantone Solid Coated system**. This ensures consistency across all our printing and embroidery processes. If you don’t know your exact Pantone colour, our team can colour match your artwork as closely as possible.

Here’s how we handle colour matching in each production method:

* **Screen Printing:**\
  We use a **Magna Colours mixing system** to accurately match Pantone Coated colours. Every mix is compared under specialist lighting to ensure a true match. We can also create **specialty inks** like metallics, fluorescents, or puff effects.
* **Embroidery:**\
  Our embroidery threads are matched using the **Madeira thread system**, aligned as closely as possible to your Pantone Coated reference. We keep your thread colours on file for future orders. If needed, we can send you a photo or a **sew-out sample** so you can check the colour against your brand guidelines.
* **Heat Press:**\
  For **Supacolour transfers**, we use Pantone Coated references for colour matching. **DTF (Direct-to-Film) transfers** are printed in CMYK, so there may be slight colour differences compared to Pantone Coated.

**Important note:** We only match to the **Pantone Coated system**, not Pantone Uncoated. The two systems look different, so always supply Pantone Coated references for the most accurate results.

* Use a **gentle cycle** and avoid harsh detergents.

* Avoid ironing directly on prints, embroidery, or transfers.

Our **water-based screen prints** (made in Dunedin, NZ) are soft to wear but need a little TLC:

* Don’t bleach or use strong stain removers on the print.
* Wash with similar colours to prevent transfer.
* Prints may soften slightly over time — that’s the nature of water-based inks.

#### Caring for **Embroidered garments**

Embroidery is durable but can snag if not handled carefully:

* Avoid over-washing heavy embroidered items like caps or jackets.
* Turn garments inside out before washing.
* If threads ever lift, don’t pull them — trim gently with scissors.

#### Caring for **Heat Transfer garments** (Supacolour, DTF, vinyl)

Heat press decorations are strong but need cooler care:

* Wash cold and inside out to prevent peeling or cracking.
* Don’t tumble dry on high heat — it weakens the adhesive.
* Avoid ironing directly on the transfer; use a cloth barrier if needed.

This is a great way to keep your **brand colours consistent** while giving your merch some variety, without having to create an entirely new setup.

**Important to know:**

* We only charge for colour changes, not for black-and-white swaps in embroidery.
* Supacolour transfers can’t be changed once printed — a new design setup would be required.
* Sometimes artwork changes (e.g. altering fine details like the colour of an eye in an illustration) are more than just a colour swap. In that case, it’s treated as a **new design** and charged separately.

Yes — we offer **volume discounts** on bulk orders. The bigger your order, the lower the price per unit. This is because setup time and production costs are spread across more garments, and we pass those savings directly on to you.

Whether you’re ordering **custom screen printed t-shirts, embroidered uniforms, or branded tote bags**, bulk ordering is the best way to get the most value for your merch.

#### Our standard price breaks

Most products fall into the following price tiers:

* **12–23 units** (embroidery on outerwear only)
* **24–49 units** (minimum 50 for tote bags and tea towels)

* **100–249 units**

* Discounts are applied **per design**. If your design changes, the volume tier resets.

* **Send us photos** of the issue or a clear description — this helps us resolve it faster.
* We’ll arrange a **courier collection** so the order can be returned to us for inspection.

* If the products can still be used, we may offer a **discount** — this helps avoid sending items to landfill.

3. **Quality assurance** – Before adding any decoration, we rigorously test garments to ensure prints wash well, embroidery sits correctly, and heat transfers adhere properly. With supplied garments we haven’t tested, we can’t guarantee the final product will meet our high standards.

* **Screen printing setup** – Our screen print machines use adult platens (the flat plates garments sit on while being printed). Because of this, the smallest kids’ size we can screen print is a **kids size 8**.
* **Fit and proportion** – We’ll always double-check that your design scales well so it looks just as good on a child’s tee as it does on an adult hoodie.

#### Other decoration options

If you need **smaller kids’ sizes (under 8 years old)**, we can often recommend **embroidery or heat press decoration** instead of screen printing. These methods work well across a wider size range.

On our Tajima embroidery machines we can embroider up to **12 thread colours per design**. Unlike screen printing, the number of colours doesn’t change the price. Instead, embroidery costs are based on the **stitch count** — so larger, more detailed designs cost more than smaller logos.

We stock a wide range of **Madeira threads**, meaning we can closely match to your brand colours and keep consistency across repeat orders.

#### Heat Press

Both **Supacolour transfers** and **DTF (Direct to Film)** are full-colour digital methods. That means you can print **as many colours as you like** — no limits, no added costs per colour. Instead, pricing is based on the **size of your artwork**, making it ideal for detailed or multi-colour designs.

Here are the three main ways you can order with us:

Our **free pre-order stores** are one of the easiest and most popular ways to sell custom merch.

* No upfront costs. You don’t have to pay for stock before selling.
* No leftover merch. We only produce what’s ordered.
* We create an online store, upload your chosen products (once proofs are approved), and give you a link to share.
* People order directly through our website, choosing their size, colour, and even adding personalisation like names or initials.
* Stores usually stay open for 2 weeks. After that, we close the store, produce the garments, ship them either individually or in bulk, and pay you the profits.

This option is ideal for fundraisers, school leavers gear, charities, sports clubs, and events. We can also add a donation feature to support your cause.

#### 2. Spreadsheet Orders

If an online pre-order store isn’t the right fit, a **Google Spreadsheet order form** is another straightforward option.

* We set up a formatted spreadsheet for you.
* You share it with your team, club, or customers.
* They fill in their garment sizes, colours, quantities, and any personalisation details.
* Once complete, we create proofs, confirm your order, and send the invoice.

This works well for businesses, sports teams, schools, or small groups who want a simple way to capture orders in one place.

Our screen printing is award winning, using only water-based inks for a soft feel and sustainable finish. We’ve won more than 24 gold medals at the national Pride in Print awards. With two automated screen printing machines, we can produce up to 5,000 impressions per day, making us one of the most capable print shops in New Zealand.

**Embroidery**\
Our embroidery department runs on three state-of-the-art Tajima machines with 20 embroidery heads in total. We can handle everything from small runs to large-scale uniform orders with precision stitching and colour accuracy.

**Heat Press**\
We operate six heat press machines, giving us the flexibility to decorate garments, caps, tote bags, and even custom neck tags. We specialise in Supacolour transfers and direct-to-film (DTF) printing, which are ideal for vibrant, full-colour designs.

It's especially helpful for custom offshore production, where sampling is a key step. For orders over **100 units** we can send you a photo strikeoff for you to approve just prior to us starting bulk production. We can also do this with heat transfers and embroidery if needed. If you require sampling for photoshoots etc, this can be done but we charge by the hour as a lot of the time is involved in the set up and can be quite expensive.&#x20;

For the best results with **screen printing, embroidery, and heat transfers**, we recommend supplying a **vector file** such as **AI, EPS, or PDF with editable outlines**. Vector artwork ensures sharp, clean printing at any size.

We can also work with **high-resolution Photoshop files** (minimum **300 DPI** at actual print size or larger), ideally with separated layers.

For **embroidery**, we can usually accept most file types (JPEG, PNG, PDF, etc.), though a vector file will give the cleanest result.

If your artwork isn’t production-ready, our team can redraw it for you at a cost of **$30–$100 + GST**. Once complete, you’ll own the file for future use with Print Room or any other project.

Each decoration method is designed to last, but a lill bit of love will help maintain colour, shape and detail over time.

# Water-based Ink Properties

When you order screen printing from Print Room NZ, we use **water-based inks** by default — and there’s a good reason why.

#### What is Water-Based Ink?

Water-based ink soaks into the fabric instead of sitting on top. It creates a soft, breathable print that feels like part of the garment — not a thick layer on top. It’s made using water as the main solvent, which means **no harsh chemicals, no plastic feel, and no cracked prints over time**.

#### What is Plastisol Ink?

Plastisol is a plastic-based ink that doesn’t soak into the fabric. Instead, it creates a thick coating on the surface. It’s easy for printers to use and lasts well — but it’s made with **PVC (polyvinyl chloride)** and requires chemical solvents to clean up. It’s still widely used in the industry, but it’s **less kind to the environment and harder on print staff**.

### Redigitizing Policy

If an existing embroidery file cannot be used as-is — for example, if the design needs to be significantly resized, modified to meet technical limitations, or corrected for quality issues — it must be redigitized.

* Our team will review your file and advise if redigitizing is required.
* A **redigitizing fee** will apply in these cases, which we will quote before proceeding.
* Redigitizing ensures the best quality and prevents production errors.

### Scaling & Detail

Embroidery has physical thread limits — not every design can be reduced or enlarged without loss of quality.

* **Minimum text height:** \~5mm (smaller text risks becoming illegible).
* **Minimum line thickness:** \~1mm (thinner lines may not stitch properly).
* Designs can generally be scaled up/down by **10–15%** from the original digitized size without redigitizing. Beyond that, we recommend redigitizing for best results.

### Design Placement Guidelines

Different garments and areas have their own constraints. Below are common placement zones and notes:

   * If you’re based elsewhere, we’ll provide you with a **pre-paid shipping label** once we’ve reviewed your request. All you need to do is cover the shipping costs.
3. **Processing** – Once received, we work with **specialist textile recycling partners** to give your garments a second life. Materials are repurposed into useful products like felts, insulation, blankets, and more.

Reaching our sustainability goals is a journey, not a race. We are proud to have achieved **Toitū Enviromark Bronze certification**, with plans to reach **Gold by the end of 2025**. We are also working towards **B Corp certification**, which we aim to complete by the end of 2025.

In August 2025 our team spent a day volunteering at **Ōrokonui Ecosanctuary**, removing gorse and weeds to support native biodiversity. Ōrokonui is a 307-hectare sanctuary home to many threatened species and habitats, with the long-term goal of helping both wildlife and community thrive. We are proud to partner with Ōrokonui and look forward to continuing this mahi in the years ahead.

We also support community initiatives through our work. While we continue to support our in-house team and reduce our own environmental impact, the biggest difference comes when the entire supply chain is aligned. At The Print Room, we receive a large number of packages every week, so we have built simple systems to **recycle and repurpose materials** for our outgoing shipments. Wherever possible we **reuse boxes from our suppliers**, giving packaging a second life rather than sending it straight to recycling.

You will not find plastic in our packaging. Instead, we use **water-activated paper tape** that contains no petroleum-based glues, ensuring every order is sealed securely while remaining fully recyclable and environmentally friendly.

We also encourage our suppliers to reduce or remove plastic from their own packaging wherever possible. By making small but consistent changes, we are cutting waste, lowering impact and ensuring that the **custom merchandise we produce** is delivered responsibly from start to finish.

We keep you informed at every stage of your order. Here’s how updates work depending on the type of order you’ve placed:

**Bulk orders and made-to-order**

* Your **in-hand date** is listed on the proof you approved before production began. A copy of this proof is sent to your inbox via our signing software, DocuSign.
* If you can’t find your proof, or you’d like to check if your order can be delivered sooner or shipped to a different address, simply email your **account manager** and they’ll confirm the details for you.

**Pre-orders**

* If you’ve purchased from one of our **online pre-order stores**, you can check the status of your order by contacting our team and quoting your web order number (which begins with **PR** followed by a number).
* Pre-order stores typically stay open for **2–4 weeks**. Once closed, orders are decorated and fulfilled within **2–3 weeks**.
